Lead Concierges

The concierge team is known for its friendly, proactive and energised approach to customer service and facility management.
The Roles:
The two Concierge Team Leaders will manage one school each, sharing a team of concierges on one campus, which is located on our site in Den Haag Leidschenveen. The Junior School Leidschenveen (JSL) and Senior School Leidschenveen (SSL) share an outside area that is used as the play area for the students and these grounds are enclosed in between the two campus buildings. Both Lead Concierges need to have a strength in communication and working collaboratively to ensure that the team works effectively across two buildings with shared facilities.
The concierge team assists the schools in all activities connected to the day-to-day school business as well as extracurricular activities. Also, they facilitate all gatherings organised by the schools such as parent evenings, music performance evenings or comparable cultural activities where the students perform for an audience existing off the parents and teachers.
In conjunction with the Operations department both Lead Concierges and the concierge team will attend to all maintenance of the grounds and the buildings. The position of the Lead Concierge is of paramount importance to the centralised team of Operations; who are responsible for managing all yearly maintenance, replacement projects and campus development projects.
The focus for this role is making sure all facilities comply with health and safety regulations, to welcome the contractors on campus making sure they execute the job correctly and ensuring close contact with team operations.
Daily malfunctions of installations or building aspects, for instance a leaking roof, are noticed first and foremost by the concierges. It is the responsibility of the Lead Concierge to create tickets with the external maintenance vendors and make sure they respond and repair according to contract agreements. As well as report any dangerous situation to the head of operations, the head of security and data protection, and the Headteacher.
Other key tasks:
Collaborate effectively with the other Lead Concierges and concierge team within the organisation and the operations team, including the effective coordination of concierge holiday schedules;
Check that maintenance and repairs (electrical, building and plumbing) as required are carried out timely and ensure that larger maintenance issues are reported and dealt with via the facility management system (FMIS) called WISH;
Maintain cleanliness and tidiness of the campus including staffrooms and toilets, coordinated through the school’s cleaning company;
Manage budgets and ensure cost-effectiveness;
Ensure the facilitates meet local and British school accreditation, regulations and environmental, health and security standards, including regular testing of the evacuation and stay safe inside system, and attendance of SSL and JSL H&S (Health& Safety) meetings;
Maintain healthy relationships with neighbouring businesses, Gemeente representatives and agencies;
Conduct staff professional dialogues;
Work flexible patterns with occasional irregular evenings or weekend shifts.
The Candidate:
You are an enthusiastic and approachable colleague with a flexible ‘can do’ attitude to work. As a strong communicator, you have the ability to build and maintain good working relationships as well as:
Physical energy to carry out daily functions which require lifting, manual dexterity, and walking with ease around a two-story building;
Good communication in spoken and written English (Dutch is desirable);
Analytical and problem-solving skills, decision-making and ability to lead and manage teams and work closely with the operations and facilities team who are responsible for the Multiyear maintenance plan and budgets;
Work closely with the two Headteachers to manage expectations across the campuses and provide equal levels of service to both schools;
Organisation, time management, prioritising and the ability to handle a complex varied workload;
A good knowledge of IT packages such as MS Office IT packages. Experience with FMIS will be seen as an advantage.
