Part-time, 80%· Senior School Voorschoten

We have an exciting opportunity to join our Senior School Voorschoten as an Examination Officer on a part-time basis (80%), with full-time hours during examination periods.

Responsibilities: 

  • Communicating with a wide range of internal and external stakeholders, including learners, parents, Heads of Departments, Heads of Years, teachers, reception staff, site staff, IT staff and awarding organisations. 

  • Being aware of examination changes each academic year, briefing colleagues on any changes and reminding them of regulations and responsibilities as appropriate. 

  • Recruiting and managing invigilators. This includes training new invigilators and updating existing invigilators on rules and regulation changes on an annual basis. 

  • Managing the examination entry process, including gathering information from teaching staff to ensure that learners’ examination entries are made correctly and on time, making amendments/withdrawals etc. 

  • Overseeing the entry of non-examined assessment marks to the exam boards in a timely manner. 

  • Managing the internal and external examination preparation process. This includes preparing examination timetables for learners and staff (including internal assessments and mocks, in collaboration with colleagues); creating seating plans for each examination room; receiving, checking and securely storing confidential examination materials; administering internal assessments etc. 

  • Supporting the provision of access arrangements and reasonable adjustments (for example; liaising with the AENCo about learner needs and modified papers, making room bookings, ensuring availability of sufficient word-processing devices, training invigilators, managing emergency access arrangements etc.) 

  • Managing examination days in accordance with awarding body regulations, including preparing for each exam day, starting an examination, dealing with emergencies, irregularities and malpractice, ending the examination, collecting the examination scripts and packing and dispatching examination scripts. This may involve working on Dutch national holidays if public exams are scheduled. 

  • Contingency planning. 

  • Facilitating exam board inspections, which include unannounced visits when exams are taking place. 

  • Managing examination results. This includes accessing results electronically/downloading results from awarding body secure sites the day before Results Day and preparing these for distribution to each learner. 

  • Organising and attending Results Days for GCSE and GCE, which fall during the school summer holidays. 

  • Dealing with requests and administering post-results services in the days after Results Day. 

  • Issuing examination certificates. 

Skills and experience:

Necessary: 

  • Excellent organisational and planning skills 

  • Good interpersonal and communication skills with a range of stakeholders 

  • Ability to prioritise workload and meet deadlines 

  • High level of accuracy and attention to detail 

  • An understanding of multiple IT systems including databases 

  • Strict adherence to data security and confidentiality protocols 

  • Calm and collected approach to work under pressure 

  • Flexibility to work outside regular working hours during exam periods 

Desirable: 

  • Previous experience of exam-related work 

  • Knowledge of UK and international assessment practices and awarding bodies  

  • Experience of conducting digital on-screen examinations 

This position will report to the Assistant Headteacher. 

The salary range for this position is 3846,62- 5009,30 gross EUR monthly (full-time), depending on experience. All figures shown are including the 9% holiday allowance.
